Newsletters for your hotel. Keep your PMS.
HANS writes, sends and measures your newsletters. Your hotel software stays exactly as it is.
Most newsletter tools are built for every kind of business. HANS comes from hospitality: one version per language your guests speak, a sender address on your own domain and a blocklist you can actually look into. You bring your contacts along.
Request a quoteYour PMS stays as it is.
Nothing changes at reception. HANS takes over the newsletter only: contacts, campaigns, sending and unsubscribes. Your team learns one more tool, not a new hotel system.
Your account shows only what belongs to the newsletter. Rooms, rates and the calendar stay hidden for as long as you don't need them.
Your contacts move with you, consent records included.
You upload a CSV file, exported from your PMS or from your current newsletter tool. HANS suggests which column goes where and shows you before the import what comes in and what doesn't.
Every row needs the time and source of consent, otherwise it stays out. Addresses whose domain accepts no email, throwaway addresses and shared inboxes like info@ are sorted out, each with its reason and row number. You fix the file where it needs fixing instead of guessing.
New sign-ups come through your website.
Your agency adds the sign-up form to your website with one line of code. HANS sends the confirmation email itself, from your sender, and only adds the address once the link in it is clicked.
For every sign-up HANS stores the time, the source and the exact wording the guest agreed to. If someone asks in two years where you got their address, the answer is right there on the contact.

Emails that look like your hotel.
You build the email from blocks such as text, image and button. To get started there are ready-made templates that you fill with your own words and pictures.
You write a separate version for each language your guests speak. Anyone whose language has no version receives your default language. The preview shows the email on desktop and on a phone, and a test email goes to your own inbox.
Your hotel's name in the inbox.
Newsletters go out from a subdomain of your hotel, such as news.yourhotel.com. Guests see your name and your address as the sender, and deliverability is tied to your own domain.
An assistant shows the DNS records ready to copy and can send them straight to your agency. HANS checks them itself and only allows sending once everything is in place. In the first weeks the daily volume rises step by step, so inbox providers learn to trust the new address.
Unsubscribed means unsubscribed.
Every email has a one-click unsubscribe, including the unsubscribe button in Gmail and Apple Mail. The address goes onto the blocklist, and from then on neither an import nor a campaign can reach it.
The blocklist shows every entry with its reason, source and date. Only a new sign-up through your form lifts an unsubscribe, and nothing lifts a spam complaint. Guests who don't want to leave altogether can switch off single topics or get only the most important emails.
Blocklist
You see what was clicked.
For each campaign the report shows deliveries, clicks per link and per language, bounces and unsubscribes. There is no open rate, on purpose: since Apple started preloading emails, it counts opens no person ever made.
Virus scanners that call every link in advance are not counted as clicks. Links carry UTM parameters, so your website analytics can tell which visitors came from the newsletter.

If one day you want to run the calendar, inquiries or invoices in HANS too, we switch them on in the same account. Contacts, consents, campaigns and reports stay exactly as they are.
Frequently asked questions.
- Does HANS need a connection to my PMS?
- No. You export your contacts as a CSV file with name, email and, where available, language and consent, and upload it to HANS. New sign-ups then come in through the form on your website.
- What happens to contacts without a consent record?
- They are not imported. Before the import, HANS shows how many rows are affected, with examples and row numbers. If part of your list has no record, you can ask those guests for consent again through the sign-up form.
- Do my unsubscribes from the old tool come along?
- Yes. For common providers HANS fetches the list of unsubscribed addresses directly and puts it on the blocklist before you import. Then you pause the old provider, so emails never go out from two tools at once.
- Is this GDPR compliant?
- HANS is designed to be used in a GDPR-compliant way: every consent is recorded with time, source and wording, every email carries an unsubscribe link, and an unsubscribe cannot be undone by an import or by hand. Opens are not tracked.
Bring your list along.
How many of your contacts come with a consent record and what your own sender still needs, we can sort out in a short call.
