A PMS (property management system) is the program a property uses to run its rooms, guests, rates and invoices. HANS comes from South Tyrol and is set up for properties in Tyrol and Austria.

Invoices under Austrian law.
HANS issues the invoice as a PDF, with your UID number and VAT split by 20, 13 and 10 per cent. The visitor tax appears as a pass-through item without VAT, per night or, as in Vienna, as a percentage of the room price. From €10,000, HANS asks for the business customer's UID number, as § 11 UStG requires.
For the tax adviser, reception downloads a month's or a year's invoices in one go: the PDFs and a list with net, VAT and gross amounts. Invoicing is an add-on to the base package.

The cash register is built in.
When a guest pays cash or by card at reception, HANS creates the receipt and signs it under the Austrian cash register security regulation (RKSV). The receipt carries the receipt number, register ID, amounts per VAT rate and the QR code. Reception does not need a second till next to the PMS.
HANS signs through fiskaltrust and creates the start, monthly and annual receipts itself. If signing ever fails, HANS submits the receipt later. On request it goes to the guest by email.

The registration sheet with signature.
Austrian registration law requires the guest's signature. Guests sign on the tablet at reception or during online check-in, and reception confirms it on site with one tap. If the departure date changes, HANS reminds you to have the sheet signed again.
HANS stores every signature with the stay, and it cannot be changed afterwards. The electronic report to the tourism association via feratel will follow.

If a guest asks for a specific room, HANS answers with an offer for exactly that room, in the guest's language and with your templates. If it is taken, with fitting alternatives.

Any device becomes a terminal.
An existing tablet at reception takes over guest card and invoice: the guest enters their own details, and what they enter is immediately correct in the system.

Hotel software, hotel program, PMS – what's what?
The same program under three names. In everyday German people say “Hotelsoftware” or “Hotelprogramm”; “PMS” is the industry abbreviation for property management system. It means the program a property uses to run rooms, guests, rates and invoices.
In Austria, the cash register and the registration sheet belong to it too. In HANS both sit on the same stay as the invoice.

Frequently asked questions.
- Is hotel software the same as a PMS?
- Yes, both words mean the same program. If you keep bookings in one program today and write invoices in another, a PMS puts both in one place.
- Do I need a separate cash register next to HANS?
- Not for payments at reception. HANS creates the receipts itself and signs them through fiskaltrust under the RKSV. We set up the register with you during onboarding.
- Does HANS report guests to the tourism association?
- Not yet. The report via feratel will follow. HANS already keeps the registration sheet with the guest's signature today.
- Can my tax adviser work with the invoices?
- Yes. The invoices are PDFs with UID number and VAT per rate. For the tax adviser there is an export with all PDFs of a month or year and a list as a CSV file.
