A newsletter tool next to the hotel software usually means: export the list, map the columns, hope the unsubscribes find their way back. In HANS that detour is gone. Your recipients are your guest directory, the offers come from your rates, and anyone who unsubscribes is unsubscribed everywhere at once.

Write to all guests, to a saved view from the guest directory or to a filter of your own: returning guests from Germany, families from last summer, everyone who stayed more than three nights.
Only guests with a legal basis for marketing are counted, and every address receives the email exactly once. Guests who are in the house right now or arrive in the next few days are left out automatically.

Next to text, images and buttons there are blocks from HANS: a promotion, a voucher or a room type with photo and starting price. They are filled in only when the email is sent, so they show that day's figures.
Every guest gets the email in their language if you have written a version for it, otherwise in your main language. With the AI assistant, Hansi suggests subject lines and translates the draft. The preview shows the email on desktop and phone, and a test email goes to your own inbox.
Four emails that follow the stay on their own.
A thank-you the day after departure, a few days later a request for a review with your review link. Plus birthday greetings and a reminder one year after the last stay.
You switch each automation on separately and set its delay and time; the texts are edited per language under templates. A guest receives at most one of these emails in three days. Birthday and anniversary stay silent while the guest is in the house or about to arrive again.
Guest automations
A sender of its own for marketing.
Newsletters go out from a dedicated subdomain such as news.yourhotel.com and through a separate sending channel. Your booking confirmations stay apart: if a newsletter ever lands in spam, it does not drag down the emails your guests are waiting for.
An assistant lists the DNS records to copy and, if you like, sends them straight to your agency. HANS checks the records itself and only unlocks sending once everything is in place. During the first weeks the daily volume rises in steps so the new address earns the trust of the mailbox providers.
Consent you can prove.
Ask for consent where the guest is filling something in anyway: in the sign-up form on your website, confirmed by email, with a checkbox in the booking and enquiry widgets, never pre-ticked, or on the guest card at the terminal. For every consent HANS stores the time, the source and the exact wording the guest agreed to.
If you switch on soft opt-in, guests who booked with you may hear about similar offers without ticking a box. They see a notice while booking and can object right there. Every email carries a one-click unsubscribe, which also works through the unsubscribe button in Gmail or Apple Mail.
The team writes, the management sends.
Anyone in the house may draft. Sending, scheduling and stopping are reserved for the people responsible. A draft can be submitted for approval, so nothing leaves the desk that nobody has looked at.
Before sending, a checklist looks at the sender, subject and content of each language, empty blocks and the number of recipients. You confirm with exactly that number. Once sending runs you can pause or cancel it. If bounces or complaints pile up, HANS stops on its own.
Measured is what can be measured.
The report shows deliveries, clicks per link and per language, bounces and unsubscribes, plus the list of all recipients. It deliberately shows no open rates: since Apple Mail preloads messages, they count opens no person made.
HANS measures clicks through your property's own address, without a third-party tracking domain. Clicks from virus scanners that open every link in advance are recognised and not counted. Links carry UTM parameters so your website analytics can see where visitors come from too.

- What do I need to prepare technically?
- Only the DNS records for the subdomain the newsletters are sent from. Whoever manages your domain sets them in a few minutes. The assistant in HANS lists them for copying, sends them to your agency and reports as soon as everything is right.
- Will guests get too many emails?
- There are limits you do not have to watch yourself. An automatic email goes out at most every three days, guests in the house or about to arrive are left out of marketing, and anyone who unsubscribes gets nothing more from that moment on.
- Is this compatible with the GDPR?
- HANS is designed to be used in a GDPR-compliant way: marketing only goes to guests with consent or, if you switch it on, with soft opt-in and the option to object. Every consent is documented with time, source and wording, and every email carries an unsubscribe link. Opens are not tracked.
