Your room attendants no longer carry a list around the house.
Tasks and room status live on tablet and phone, and the front desk sees the same picture.
Where the list runs on paper, the front desk phones to ask whether room 14 is ready yet, and changes are copied in by hand in the evening. In HANS there is only one version of the truth: what the staff tick off, the front desk sees in the same moment.
The front desk sees which room is ready without picking up the phone.
Staff set a room to “done”, and the front desk sees it at once on the room plan and on the check-in card. When a guest arrives, it shows whether their room is ready yet.
If you want a second pair of eyes, switch on the inspection: staff then report “clean”, and the head of housekeeping sets “inspected” after a look at the room. After every departure the room counts as dirty again.
Every room has its own list today.
HANS works out the checklist from the stay and your rules: a welcome card on arrival, the bathrobe every two days, the final clean with disinfection on departure. If the front desk changes a booking, the list is right the next moment.
The rules apply per room category. Each task can carry instructions that staff unfold when needed, and quantities such as bed linen follow the number of guests.
Who cleans which rooms, you drag onto the weekly plan.
Teams have a name and a colour. You drag rooms onto a team and see the planned time for each team across the week.
If a room was not finished after departure, its tasks come back on the list the next day instead of getting lost on a slip of paper.
The light bulb is broken, and the minibar is already booked.
Staff report what they notice at the room, for example “light bulb broken” or “item found”, and the front desk reads it at once. The other way round, the front desk leaves notes that staff see at the room.
If something is missing from the minibar, staff enter it and the item goes straight onto the guest account. Staff do not see prices. After departure HANS books nothing further; it stays a note to the front desk.
One scan with their own phone, and staff are in.
The manager adds a person, and that person scans a QR code with their own phone. Nobody needs a password. Where one device is shared, people tap their own name and enter a PIN.
You can withdraw access at any time: a person who is removed loses phone and PIN immediately. Staff see only the housekeeping area and, of the guests, the title and surname.
Whoever wants paper prints the list.
The task list and the laundry list come as PDFs. The laundry list adds up what the rooms need in linen.
Both lists are built from the same tasks as the checklist on the tablet. Nothing is maintained twice.
A dirty room never blocks a check-in.
If the room is not ready on arrival, HANS tells the front desk with “room still dirty”. Checking in remains possible, because only the front desk knows whether the guest can wait a moment.
Frequently asked questions.
- Does every employee need an email address?
- No. The manager adds staff by name; an email address and a password are not needed. Sign-in works with a QR code on their own phone or with a PIN at a shared station.
- Which devices does it run on?
- On tablets and phones. The layout follows the screen width, and in portrait a room opens as a page of its own. A device that several people share becomes a station.
- Does it work when the Wi-Fi is weak in the cellar?
- Ticks set without a connection are remembered by the device and sent as soon as it has a network again. Until then they show “sending”, and the list stays as it was.
- Do staff see prices or contact details?
- No. Staff see title and surname, how many people are coming and the notes the front desk leaves for housekeeping. Prices, invoices and the guests’ contact details stay hidden from them.
- Can I create tasks myself?
- Yes. You set tasks, rhythm and instructions yourself; to get started there is a suggested set of common tasks that you adjust. You maintain names and instructions per language, so staff read them in their own.
- Who can see who is working right now?
- The front desk sees “room is being cleaned” at the room, without names. At a shared station the manager sees who is working there.
